A level-headed take on AI for smaller firms

A few honest thoughts behind the way I work — so you make AI choices with your head, not out of fear of falling behind.

AI is already here, plan or no plan

In most firms someone is already using ChatGPT for an email or a quote. That’s not a problem — often it’s useful. It only becomes a risk when no one knows which data goes in, and where it ends up.

The answer isn’t “ban AI” (it won’t work) or “AI everywhere”. It’s a few simple ground rules, and a safe place to do it.

The question isn’t whether your people use AI. It’s whether it happens safely.

Not the newest tool, but a stable foundation

The hype pushes you towards the newest subscription. But for a smaller business the real return isn’t in the shiny tool — it’s in getting the basics right: safe accounts, data in the right place, an environment that simply keeps running.

On a shaky foundation, AI only makes problems bigger. On a good one, it finally becomes valuable. Boring, maybe, but it works.

Where’s the gain for you?

For smaller firms the gain from AI is rarely spectacular. It’s in the repetitive jobs: drafts for emails and quotes, summarising, checking text, searching your own documents.

The gain is time and calm — not “innovating for its own sake”.

Start there. One task that saves you time every week is worth more than ten tools nobody uses.
